Version 1.3 · Last updated 15 October 2026. These terms are the commercial agreement between your farm and FarmShopHub. They apply to every farm shop, mobile vendor, pick-your-own site and honesty box selling through the platform, and to the co-managers you invite. As a user of the platform you are also bound by our Conditions of Use & Sale and our Privacy Policy, and by our Acceptable Use Policy, which is incorporated into these terms by reference.
This is an agreement between you (the farm business named on your account) and Cub's Den Ltd, trading as FarmShopHub (registered in England & Wales, Company No. 04271749, registered office c/o Barnbrook Sinclair, 30 St. Johns Road, Woking, Surrey, GU21 7SA). It governs your merchant account, your location cards, your product listings and the sale of your produce through the platform. By activating a subscription, listing produce or otherwise selling through FarmShopHub, you accept these terms on behalf of your business.
Keep your business details accurate and current — trading name, address, contact details, business type and any registration or VAT numbers. You are responsible for everything done through your account, including by co-managers you invite. New farms start on a free trial (shown in your account) with full access to the features of their tier; when the trial ends you need an active subscription to keep selling. If your farm was added to the directory by the platform and you claim it via an invitation, claiming it makes you the responsible manager for that farm record.
Subscription tiers and prices are shown when you choose a plan. The monthly price you see when you activate is the price you pay for as long as your subscription runs continuously — if platform prices change later, existing subscribers keep their original price. Subscriptions are charged monthly in advance and renew automatically until cancelled. You can upgrade, downgrade or cancel at any time; cancelling stops future renewals and your plan runs to the end of the period you have paid for.
Card details are captured and stored securely by takepayments — we never see or hold your full card number. When you activate a subscription you authorise us, through takepayments, to charge the stored card automatically each month (a merchant-initiated transaction linked to your original payment). If a renewal payment fails, your plan is marked past-due and you keep limited access until you pay with an up-to-date card. Stored cards can be updated by re-activating with a new card at any time.
Your listings are your shop window and your legal responsibility. Descriptions, prices, weights, stock levels, delivery fees and availability must be accurate and kept up to date. You must comply with food safety, labelling, weighing and trading-standards law that applies to what you sell. Badges and accreditations you display (Food Hygiene Rating, Red Tractor, organic and similar schemes) must be genuine — we may ask to see certificates and verify them. Alcohol cannot be listed or sold on FarmShopHub; vineyards, breweries and distillers may list tours, tastings and vouchers instead. The rules for age-restricted and special-category goods (including alcohol, knives and raw drinking milk) are set out in our Acceptable Use Policy, which forms part of these terms.
We review new products, custom categories and accreditation certificates to keep the marketplace trustworthy. We may hold a listing for review, ask you to correct it, or hide or reject it if it breaches these terms or our product rules — and we may reorganise the product taxonomy your listings sit in.
When a customer orders from you, you are the seller: fulfil orders promptly and to the standard you advertise, keep statuses up to date, pack and hand over or deliver as the customer was told at checkout, and honour the cancellation and refund conditions in the Conditions of Use & Sale. Respond to customer messages and cancellation requests in reasonable time. You receive the customer details needed to fulfil the order — use them only for that and handle them in line with the Privacy Policy and your own data-protection duties, as set out in the next section.
The three clauses below are core marketplace terms you accept as a seller on FarmShopHub. They sit alongside — and are incorporated into — the rest of this agreement.
The legal contract of sale for any food or produce you list is made strictly between you (the seller) and the customer who buys it. FarmShopHub acts solely as a commercial agent facilitating the platform: it may operate the checkout, collect payments on your behalf and handle order communications, but it is not a party to the sale and does not take title to, own or resell your goods. Product quality, description, food safety and compliance with consumer law in the sale are your responsibility as the seller.
You warrant that all packaging you use for fresh or chilled produce — for example insulated liners (such as Woolcool) and ice gels — is suitable for the product and preserves the safe temperature that product specifically requires (fresh produce, dairy, meat, fish or other chilled lines) until it reaches the customer at delivery or collection. You indemnify FarmShopHub against claims, losses or regulatory action arising from a failure of your cold-chain packaging or temperature control, which remains your responsibility as the seller.
FarmShopHub accepts sellers with a local authority Food Hygiene Rating of 3 or above. You must immediately notify the platform if your rating falls below 3, and you must pause (stop taking online orders for) the affected listings at that location until the issue is resolved and your rating is restored. Continued selling with a rating below 3 without notifying us and pausing affected listings is a breach of these terms.
When a customer orders from you or messages you, we share their name, contact details and delivery or collection details - nothing more than you need to fulfil that order or answer that conversation. You are an independent controller of that data: keep it secure, use it only to fulfil the order or conversation (and where the law otherwise requires), do not use it for your own marketing without the customer's consent, and handle and retain it in line with UK GDPR and the Privacy Policy. You are responsible for your own data-protection compliance for the data you hold.
Card payments are collected by us on your behalf through takepayments. Each order carries a platform fee and, where paid by card, an estimated card-processing fee — the rates and amounts are frozen onto the order at the point of sale, so they never recompute later. Payout reports show what you are owed after fees, and card-fee estimates are trued-up against takepayments payout statements during reconciliation. For cooperative-sourced listings, the reseller margin recorded on the listing at the point of sale determines the split with the source farm. You remain responsible for your own tax, VAT and accounting.
The embeddable shop lets you show your FarmShopHub products on your own website. You may place it on domains you control that we have approved (request approval from your farm dashboard). This licence is non-exclusive and revocable: it ends if your subscription lapses, if the domain is not approved, or if we need to withdraw it for legal or security reasons. Keep the pages hosting your embedded shop lawful and accurate.
We may suspend or end your merchant account if you break these terms, fall behind on payment, mislead customers, or put the platform or its users at risk. You can end this agreement at any time by cancelling your subscription; your listings then come down at the end of your paid period and existing orders must still be honoured. We will keep order and financial records for as long as the law requires, in line with the Privacy Policy.
The platform is provided to you on the terms described here, and we are not liable for indirect or consequential losses arising from your use of it. Our total liability under this agreement is limited to the subscription fees you paid in the twelve months before the claim — except where liability cannot lawfully be limited (death or personal injury caused by negligence, fraud, or anything else that cannot be excluded). These terms are governed by the laws of England & Wales. We may update them from time to time; the version and date above always show what is current, and for significant changes we will give you notice before they take effect.
Questions about these terms, your subscription or your account can be sent to privacy@farmshophub.co.uk or raised through the support tickets in your dashboard.
